The Cooperation Fund Foundation, together with the project leader, the Rural Activation Forum, invites you to submit offers for hotel, restaurant and retail services.

Purpose of the order

The aim of the contract is to select service providers who will prepare accommodation and meals as part of basic training for representatives of rural organizations and organizations from small towns on participation in the law-making process, in the program "Rural organizations in the law-making process", co-financed by the European Union from the European Social Fund under the Operational Program Knowledge Education Development 2014–2020.

The Ordering Party allows the submission of partial offers for individual locations in the voivodeship.

Subject of the order

1) The subject of the order is the organisation of 20 (twenty) two-day training courses for participants of the project "Rural organisations in the law-making process", which will be provided in the period from April to July 2018 throughout Poland (at least 1 meeting in 1 voivodeship).
2) The service includes:
a. Hotel accommodations at a minimum two-star hotel during 20 (twenty) two-day meetings/trainings organized for participants of the "Rural Organizations in the Lawmaking Process" project (hereinafter referred to as "meetings"), each for 22 people in double or single/double rooms for single use. The facility must have: full bathroom facilities, free Wi-Fi, and a conference room. The facility should be accessible to people with disabilities.
b. Catering and refreshments during "coffee breaks" during 20 (twenty) two-day meetings. The service includes two lunches, one dinner, and one breakfast for 22 people each. The lunch menu will include soup, a main course, dessert, and drinks. A vegetarian option should be included. Lunch may be served as a buffet. The dinner menu will include a main course, salads, and drinks. The menu should include vegetarian options. Dinner may be served as a buffet. Breakfast may be served as a buffet. The offer should include at least 2-3 sample menus for each meal for the day. Coffee breaks during each of the 20 meetings: two coffee breaks on the first day of the meeting and one coffee break on the second day of the meeting for 20 people, including coffee, tea, beverages (including water and fruit juices), cookies, and seasonal fruit.
c. Conference room rental: 1 conference room for 22 people for each of the two days of the meeting. Conference room requirements: a room for at least 20 people with natural light, with the option of a theater-style setup or tables for small group work; the room must be equipped with at least 1 computer, 1 screen, 1 overhead projector, and 1 flipchart (with paper and colored markers).

The offer can be:
a. send by post (including courier) to the following address: Fundacja "Fundusz Współpracy", ul. Górnośląska 4a, 00-444 Warsaw – the date and time of receipt by the Foundation will be decisive.
b. send by e-mail to: aleksandra.strejmer@cofund.org.pl – the date of display of the message on the recipient's computer is decisive.
c. deliver it in person to the FFW Office at the following address: Fundacja Fundusz Współpracy, ul. Górnośląska 4a, 00-444 Warsaw – the date and time of receipt by the Foundation will be decisive.

The offer should be submitted on the offer form constituting Annex 1 to this request for proposals.
The offer must be completed on a computer and in Polish. Prices quoted in the offer must include all costs related to order fulfillment and cannot change during the contract term.
Contractors are obliged to carefully read the information contained in the request for proposals and annexes and prepare their offer in accordance with the requirements specified in this document.
Offers prepared contrary to the requirements of this request for proposals, submitted on a different form, incomplete or after the deadline will not be evaluated.
Contractors bear all their own costs related to preparing and submitting their offer, regardless of the outcome of the procedure.
